Terms and Conditions
1. PURPOSE OF THIS AGREEMENT
These terms set out the responsibilities of both Bowreed Limited (“the Company”) and the Client for the provision of live entertainment services. By confirming a booking, the Client agrees to these terms in full.
2. CONFIRMING THE BOOKING
2.1 A booking is confirmed once the Client accepts a quote and pays the booking fee.
2.2 The confirmation secures Bowreed Limited to provide the agreed entertainment services on the specified date.
2.3 Bowreed Limited works with a collective of professional performers and does not operate as a fixed lineup. Performers shown in promotional materials are illustrative only and are not guaranteed to appear at the event, unless agreed in writing.
2.4 The absence of a physical signature does not invalidate the booking or these terms.
3. PAYMENTS
3.1 A non-refundable booking fee is required within five working days of the invoice date. The booking fee secures the date and covers administrative and preparatory costs.
3.2 The remaining balance is payable no later than seven days before the event, unless otherwise agreed in writing.
3.3 All payments must be made to the account details provided on the invoice, quoting the reference given. Failure to do so may cause processing delays or incur an admin charge of £20.00.
3.4 Late payments may incur interest at 3% above the Bank of England base rate until settled in full.
3.5 Prices quoted are inclusive of VAT where applicable.
3.6 If the remaining balance has not been paid by the due date, Bowreed Limited may treat the booking as cancelled by the Client. The Performers will not be required to attend or perform, and the cancellation fees outlined in Clause 5.2 will remain payable.
4. CHANGES TO THE BOOKING
4.1 Any requested changes (e.g. timings, lineup, additional services) must be agreed in writing.
4.2 The total fee may change if the event duration, location, or lineup is altered.
4.3 Optional extras such as DJ services, disco lighting, or live music add-ons may be added up to a reasonable time before the event, subject to availability.
4.4 Reductions to the scope of the booking after confirmation do not automatically entitle the Client to a proportional refund, especially where staffing or logistical costs have already been agreed.
5. CANCELLATIONS BY THE CLIENT
5.1 If the Client cancels for any reason other than Force Majeure, the booking fee is non refundable.
5.2 The following cancellation fees apply:
• More than 90 days before the event: no further fee is payable.
• Between 90 and 61 days before the event: 25% of the remaining balance is payable.
• Between 60 and 31 days before the event: 50% of the remaining balance is payable.
• Within 30 days of the event: the full remaining balance is payable.
5.3 If Bowreed Limited is able to secure another booking for the same date, the cancellation fee may be reduced at its discretion.
5.4 The Client is responsible for ensuring that the chosen venue allows live music. No refunds will be given if the performance cannot proceed due to venue restrictions.
6. CANCELLATIONS BY BOWREED LIMITED
6.1 Bowreed Limited will only cancel in the event of Force Majeure or circumstances beyond reasonable control (see Clause 12).
6.2 In the case of Force Majeure, the booking fee is non-refundable. Bowreed Limited will make every reasonable effort to provide a suitable replacement lineup or equivalent entertainment to ensure the event can proceed.
6.3 If a Performer becomes unavailable, Bowreed Limited will make reasonable efforts to provide a suitable deputy. If no suitable deputy is available, Bowreed Limited may offer a reduced lineup where appropriate, with a refund equivalent to the fee of the absent Performer.
6.4 In the very unlikely event that Bowreed Limited must cancel for reasons other than Force Majeure, all monies paid - including the booking fee - will be refunded in full. This is the only circumstance under which the booking fee is refundable.
7. PERFORMANCE CONDITIONS
7.1 The Client must ensure the venue provides a safe, covered, and adequately powered performance area.
7.2 Performers require a minimum of one hot meal or inclusion in the evening buffet, as per industry standard.
7.3 Reasonable parking and vehicle access must be provided. If paid parking is required, the Client is responsible for associated costs.
7.4 The band retains control of its sound levels, though every effort will be made to comply with venue noise restrictions.
7.5 For outdoor events, suitable weather protection (e.g. marquee or stage cover) must be provided for both performers and electrical equipment.
7.6 The Performers’ instruments, sound equipment, lighting, cables, microphones, stands, and other equipment may not be used by the Client, guests, venue staff, other suppliers, or third party performers without prior written permission.
7.7 The Client is responsible for checking whether the venue has a sound limiter or noise restrictions before confirming the booking. The Performers will reasonably accommodate venue requirements where possible, but no refund or fee reduction will be due if a sound limiter or noise restriction prevents or materially affects the performance.
8. COMPLAINTS & DISPUTES
8.1 Any complaints must be made in writing within 30 days of the event.
8.2 Bowreed Limited will investigate and respond within a reasonable timeframe.
8.3 A complaint does not entitle the Client to withhold or reclaim payment unless fault is formally acknowledged by Bowreed Limited.
9. DELAYED SCHEDULES, LATE FINISHES AND EXTENDED PERFORMANCE
9.1 The Performers will be reasonably flexible with minor delays where possible, provided this does not affect venue rules, licensing, sound limits, travel, working conditions, or other commitments.
9.2 If the event runs late or the schedule changes for reasons outside the Performers’ control, the agreed fee remains payable in full.
9.3 If delays mean the Performers cannot provide the full agreed performance time within the contracted schedule, the Client will not be entitled to a refund or fee reduction.
9.4 The Performers are not required to perform, wait, or remain on site beyond the agreed finish time. Any extension is subject to Performer availability, venue permission, licensing, sound limits, travel, and reasonable working conditions.
9.5 If the Performers agree to a later finish or additional waiting time, an additional fee may be payable by the Client. Any such fee will be treated as a Performer fee.
10. RE-ENGAGEMENT OF PERFORMERS
10.1 The Client agrees not to engage any musicians or subcontractors introduced by Bowreed Limited directly for future events within 18 months of the original booking date.
10.2 If this occurs, Bowreed Limited reserves the right to charge a fee equal to the original booking fee.
11. LIABILITY
11.1 Bowreed Limited carries public liability insurance and takes reasonable steps to ensure the safety and professionalism of its subcontractors.
11.2 The Company is not liable for loss or damage arising from:
• Acts of negligence by third parties or the venue.
• Equipment failure caused by power issues or unsafe venue conditions.
• Circumstances beyond reasonable control (see Clause 12).
11.3 Bowreed Limited’s liability is limited to the total amount paid by the Client for the booking.
12. FORCE MAJEURE
12.1 A Force Majeure event includes (but is not limited to) fire, flood, extreme weather, war, terrorism, pandemic restrictions, government action, or any other circumstance beyond either party’s reasonable control.
12.2 If Force Majeure prevents performance and no suitable replacement can be provided:
• The Client will forfeit only the booking fee.
• Bowreed Limited will refund any remaining balance already paid.
• Neither party shall be liable for additional compensation.
13. GENERAL PROVISIONS
13.1 This agreement is governed by the laws of England and Wales and subject to the exclusive jurisdiction of its courts.
13.2 If any clause is found to be unenforceable, the remainder of the agreement shall remain in effect.
13.3 Any amendments or exceptions to these terms must be agreed in writing.
